Visa And Immigration

The process is generally handled in two main phases: pre-departure (visa application) and post-arrival (KITAS conversion). The Indonesian educational institution acts as the official sponsor throughout the entire process.

✈️ Phase 1: Pre-Departure (Study Permit & VITAS Application)

Obtain Acceptance Letter (LoA)

Get an official Letter of Acceptance (LoA) from a recognized Indonesian educational institution.

Apply for Study Permit

The university applies to the Ministry of Education, Culture, Research, and Technology for your Study Permit (a mandatory prerequisite).

Apply for Visa Approval (Telex/e-Visa)

Once the Study Permit is secured, the university applies to the Directorate General of Immigration for a Visa Approval Letter (often called a “Telex Visa” or simply an e-Visa).

Obtain VITAS/e-Visa

Upon approval, the electronic visa (e-Visa) is issued directly or the approval is sent to the Indonesian Embassy/Consulate you designated. You then either print the e-Visa or visit the embassy to have the VITAS stamped in your passport.

General VITAS Requirements

  • Passport: Valid for at least 18 months.
  • Official Letter of Acceptance (LoA).
  • Proof of Financial Means: Bank statement showing sufficient funds (approx. USD $1,500–$2,000).
  • Health/Medical Certificate.
  • Academic Transcripts/CV.
  • Passport-sized Photos (often with a red background).

🏛️ Phase 2: Post-Arrival (Immigration Compliance)

Entry and Conversion (KITAS)

Enter Indonesia using your VITAS/e-Visa. You must then immediately work with your sponsoring university to convert the VITAS into a KITAS at the local Immigration Office, typically within 7 to 30 days of arrival.

Biometrics

This conversion process requires you to visit the Immigration Office for a photo, fingerprinting, and a short interview.

Police and Civil Registration

After receiving your KITAS (now often digital/electronic – e-ITAS), you must often register with the local police to obtain a Certificate of Police Registration (STM) and register at the local district office (Kelurahan) to get a Domicile Letter or similar certificate. Your university should assist with these mandatory registrations.

Key Compliance and Renewal Points

  • No Work: Student visa holders are strictly prohibited from working or generating income.
  • Renewal: The KITAS must be renewed annually at the Immigration Office before it expires. The renewal process must be initiated well in advance (e.g., 30-60 days).
  • Exit Permit Only (EPO): When you complete your studies and leave Indonesia permanently, you must apply for an EPO to officially cancel your KITAS and avoid issues in the future.
